Connect your QuickBooks
Allocary reads the balances and tax QuickBooks already computed and shows you exactly how to split money across accounts you own — for profit allocation, sales tax, payroll withholding, and any reserve you choose. We never hold or move your money to us. Every transfer stays between your own accounts, and you confirm each one.
1 Your accounts
Money is moved FROM your operating/checking account INTO reserve or allocation accounts you own.
2 Your sales-tax filing frequency
Your state Department of Revenue assigned you a filing schedule. Allocary uses it to time your reminders. This is required if you set up a sales-tax bucket — getting it wrong is the single biggest risk, so you select it and confirm it.
3 Profit Allocation (optional)
Split your Income account across Profit, Owner's Pay, Tax, and OpEx on the 10th and 25th — the twice-monthly cadence profit allocation calls for, done for you. Start from your current spending (CAP) and ramp toward your targets (TAP).
| Bucket | % | Move to bucket |
|---|---|---|
| Total allocated |
On the next allocation day Allocary can post these as internal QuickBooks Transfers between your own accounts for you to confirm. It never remits or holds funds.
4 Reserve buckets
Add a bucket for each thing you want set aside. You set the percentage or amount. Leave it blank and the bucket stays dormant — nothing is moved and you get no reminders — until you set one.
Percent holds a % of net sales (e.g. an income-tax reserve). Fixed holds a set dollar amount per period. Reminders default off — it's your own savings.
Payroll withholding sets aside the payroll taxes you withhold each pay run into an account you control and reminds you before each deposit deadline.
TxnTaxDetail.TotalTax). Payroll amounts are entered by you
(QuickBooks does not share payroll data with outside tools). Keeping your QuickBooks tax setup correct is your responsibility.
4b Marketplace sales (important for online sellers)
If you sell on a marketplace (Amazon, Etsy, eBay, Walmart, etc.), that platform collects and remits the sales tax on those orders — you do not owe it. Mark the income account(s) where those marketplace sales land so Allocary does not set aside tax you don't owe. Sales on your own website or in your store (where you are the seller of record) are not marketplace sales — leave those unchecked.
Loading your income accounts…
You are responsible for correctly identifying which of your sales are marketplace-facilitated (where the platform remits the tax). Allocary excludes exactly the accounts you mark here and nothing else.
5 Reminders & save
6 Run & monitor
Sweeps run daily and only move money that posted since the last sweep. You can also run one now.
